Job over view:
To provide administrative support on a pro-active basis to the Head of Global Equities, the Head of Change and other senior management as and when needed.
Main Tasks and Responsibilities
Screen incoming telephone calls courteously and ensuring clear concise messages are conveyed when necessary;
Extensive travel coordination; arranging all aspects from visas to detailed itineraries;
Complete expense claims and arrange foreign currency requirements;
Responsibility for meeting related tasks including diary management, production and circulation of agendas and facilities booking (room/IT);
Liaise with internal and external stakeholders
Produce ad hoc documents, reports, letters, and compose correspondence;
Ensure that all internal procedures are adhered to, including liaison with other departments e.g. Legal & Compliance, Quantitative Services and Data Services;
Initiative and willingness to take on additional responsibilities as needed beyond the scope of the job description to ensure timely solutions;
Maintain meticulous filing systems as requested;
Use of various bespoke IT systems;
Provide cover and assistance in the absence of any member of the senior executive assistant team.
Advanced knowledge of the Microsoft Office Suite including Outlook
Must be fully computer literate with the ability to learn in-house and external applications
Ideally educated to A-level
At least 3 years office based experience supporting senior management
